MACS 2027 Annual Conference Conference Code of Conduct

The Mobile Air Climate Systems Association (MACS) is committed to providing a professional, educational, and welcoming environment for all conference participants. Our Annual Conference is designed to encourage learning, collaboration, and the open exchange of ideas among automotive climate system professionals. 

By registering for or attending the MACS 2027 Annual Conference, all attendees, exhibitors, sponsors, speakers, guests, volunteers, and staff agree to comply with this Code of Conduct. 

Professional Conduct 

All participants are expected to: 

• Conduct themselves in a courteous, respectful, and professional manner. 

• Treat fellow attendees, speakers, exhibitors, sponsors, hotel staff, and MACS personnel with dignity and respect. 

• Foster an environment that encourages collaboration, education, and constructive discussion. 

• Respect differing viewpoints and engage in civil, professional dialogue. 

Respectful Communications 

Participants agree that they will not: 

• Harass, intimidate, threaten, or discriminate against any individual. 

• Use abusive, vulgar, profane, or offensive language. 

• Make defamatory or knowingly false statements about any individual, company, organization, government agency, or competitor. 

• Engage in disruptive behavior that interferes with educational sessions, meetings, networking events, or exhibits. 

Professional disagreements are welcome; personal attacks are not. 

Educational Integrity 

Conference sessions should remain focused on education and industry advancement. 

Presenters and attendees should: 

• Share accurate and professional information. 

• Respect differing technical opinions. 

• Avoid personal attacks or disparaging comments regarding competing companies, products, organizations, or individuals. 

• Limit discussions to subjects relevant to the session and the mobile A/C and thermal management industry. 

Harassment-Free Environment 

MACS is dedicated to maintaining an environment free from harassment. 

Harassment includes, but is not limited to: 

• Intimidation 

• Verbal abuse 

• Offensive comments 

• Unwelcome sexual attention 

• Physical intimidation 

• Stalking 

• Deliberate disruption of presentations or events 

• Discrimination based on race, color, religion, sex, sexual orientation, gender identity, age, disability, veteran status, national origin, or any other protected characteristic. 

Participants asked to stop inappropriate behavior are expected to comply immediately. 

Solicitation Policy 

To protect the value of exhibiting and sponsoring, unauthorized commercial solicitation (“suitcasing”) is prohibited. 

Business discussions should occur: 

• Within contracted exhibit spaces; 

• During designated networking opportunities; or 

• By prior mutual agreement between participants. 

Individuals or organizations engaging in unauthorized sales or promotional activities may be removed from the conference without refund. 

Photography and Recording 

Unless expressly authorized by MACS: 

• Recording educational sessions is prohibited. 

• Photography should not interfere with presentations or other attendees. 

• Participants should respect requests from speakers or exhibitors regarding photography of proprietary materials. 

MACS may photograph or record conference activities for future promotional and educational purposes. By attending, participants consent to the use of their image or likeness in MACS publications, websites, social media, and promotional materials. 

Social Media 

MACS encourages attendees to share their conference experience responsibly. 

Participants should: 

• Share information respectfully. 

• Avoid posting confidential or proprietary information presented during sessions. 

• Refrain from making defamatory or misleading statements regarding attendees, exhibitors, sponsors, or MACS. 

Alcohol 

Alcohol may be served during designated conference functions. 

Participants are expected to drink responsibly and conduct themselves professionally throughout the conference. 

MACS reserves the right to deny service or remove individuals whose behavior becomes disruptive or unsafe. 

Reporting Concerns 

Anyone experiencing or witnessing behavior inconsistent with this Code of Conduct is encouraged to notify a member of the MACS staff immediately. 

Reports will be handled promptly, respectfully, and as confidentially as practical. 

Enforcement 

MACS reserves the right to take any action it deems appropriate in response to violations of this Code of Conduct, including: 

• Verbal warning 

• Removal from a session or event 

• Revocation of conference credentials 

• Removal from the conference without refund 

• Prohibition from attending future MACS events 

MACS’ decisions regarding enforcement are final. 

Commitment 

The MACS Annual Conference exists to advance technical knowledge, strengthen professional relationships, and support the mobile climate systems industry. Every participant plays an important role in creating an environment where everyone can learn, network, and contribute.
